SayPro Purpose of the Document:

The SayPro Research Agreement is a mandatory legal and ethical document that outlines the terms under which SayPro employees, consultants, or affiliates are permitted to engage in any research-related activities on behalf of the organization.

It ensures that all research conducted under SayPro’s name:

  • Complies with ethical and legal standards
  • Protects the rights and confidentiality of participants
  • Maintains the integrity of data collected and used
  • Clarifies intellectual property, data ownership, and responsibilities

SayPro Who Must Submit It:

  • All employees engaged in data collection, research, analysis, monitoring & evaluation, or fieldwork
  • Interns, contractors, or consultants involved in any research capacity
  • Project leads, M&E officers, and program managers overseeing research components

SayPro Contents of the SayPro Research Agreement May Include:

  1. Scope of Research Activities
    • Defines the research type (qualitative, quantitative, baseline surveys, etc.)
    • Specifies the project or program under which research will be conducted
  2. Data Ethics and Confidentiality Clauses
    • Commitment to upholding SayPro’s Data Ethics Policy
    • Confidentiality requirements for handling sensitive or personal data
    • Obligation to secure informed consent from participants
  3. Intellectual Property and Data Ownership
    • States that all data, findings, and materials are the property of SayPro
    • Restrictions on publishing or sharing without prior approval
  4. Compliance with Legal Frameworks
    • Adherence to POPIA (Protection of Personal Information Act), GDPR, and local/national laws
  5. Breach and Termination Clauses
    • Outlines consequences for non-compliance or misconduct in research practices
  6. Signatures and Effective Date
    • Signed by the employee and a SayPro-authorized official (e.g., HR or Research Director)

SayPro Submission Instructions:

  • The agreement will be provided during onboarding or prior to any research assignment.
  • Employees must:
    1. Read the document thoroughly
    2. Ask for clarification where needed
    3. Sign and date the agreement
    4. Submit a scanned/digital copy via the SayPro HR Portal or directly to hr@saypro.online

SayPro Deadline for Submission:

  • Within 7 days of appointment or before the commencement of any research activities, whichever comes first.

SayPro Retention:

  • A copy will be stored in the employee’s personnel file.
  • The employee should also retain a signed copy for their own records.
