To protect the privacy, dignity, and rights of all individuals and communities involved in SayPro programs by maintaining strict confidentiality in all aspects of data handling—collection, storage, access, usage, and sharing—according to SayPro’s Data Ethics Policy.

SayPro Purpose:

Maintaining confidentiality is not only a legal and ethical obligation but also a critical component of building trust with program participants, partners, donors, and stakeholders. This responsibility applies to all SayPro staff, consultants, volunteers, interns, and partners who interact with personal or sensitive data.

SayPro Scope of Confidential Information:

Confidential information includes but is not limited to:

  • Personal Identifiable Information (PII): names, ID numbers, addresses, contact details
  • Demographic data linked to individuals or households
  • Health, education, financial, or employment records
  • Opinions or feedback collected through surveys or interviews
  • Internal organizational data (strategies, reports, donor communications)
  • Login credentials or system access information

SayPro Key Principles of Confidentiality According to SayPro’s Data Ethics Policy:

1. Data Collection Ethics

  • Obtain informed consent before collecting any personal data.
  • Explain clearly how the data will be used, stored, and shared.
  • Avoid collecting unnecessary or excessive information.
  • Respect the rights of individuals to decline or withdraw consent without penalty.

2. Secure Storage and Access Control

  • Store all digital data on encrypted systems, secured servers, or approved cloud platforms.
  • Use strong, unique passwords and enable two-factor authentication where possible.
  • Keep physical records (e.g., paper forms) in locked, access-controlled cabinets.
  • Access to data must be limited strictly to authorized personnel on a “need-to-know” basis.

3. Data Use and Handling

  • Do not discuss or disclose sensitive information in public spaces or on unsecured communication platforms.
  • Use anonymized or aggregated data for reporting whenever possible.
  • Only share confidential data externally if there is a formal agreement, such as a Data Sharing Agreement or Memorandum of Understanding, in place.
  • If working with third-party platforms or tools, ensure they comply with SayPro’s data security standards.

4. Reporting and Breach Management

  • Immediately report any actual or suspected data breach, loss, or misuse to the SayPro Data Protection Officer or designated supervisor.
  • Participate in internal investigations or audits related to data privacy and ethics.
  • Cooperate fully with any legal or regulatory compliance processes.

5. Training and Awareness

  • Complete mandatory training on SayPro’s Data Ethics and Confidentiality Policy.
  • Stay updated on changes in data privacy laws (e.g., POPIA, GDPR) and SayPro internal policies.
  • Ask for clarification or guidance when unsure about any aspect of data handling or sharing.

SayPro Consequences of Breach:

Violation of confidentiality protocols may result in:

  • Disciplinary action (warnings, suspension, or dismissal)
  • Legal consequences, including fines or prosecution
  • Reputational damage to SayPro and its programs
  • Loss of trust among beneficiaries and partners

SayPro Best Practices to Uphold Confidentiality Daily:

  • Never leave sensitive data unattended or visible in shared spaces.
  • Avoid saving personal data on personal devices unless explicitly authorized.
  • Do not forward emails or share documents containing confidential information unless verified and permitted.
  • Lock your screen when leaving your desk.
  • Label confidential documents clearly (e.g., “Confidential – Authorized Personnel Only”).
