1. SayPro Monthly Reports (Using SCRR-17 Template)

  • Covers performance insights, KPIs, lessons learned, risks, and action plans
  • Must align with SayPro branding and relevance standards
  • Submission: Prior to monthly closeout or departmental review

2. SayPro Stakeholder Engagement Logs

(Extracted from SayPro CRM System)
Required for tracking external and internal engagements with stakeholders.

Key Components to Include:

  • Stakeholder Name & Organization
  • Type of Engagement (meeting, call, email, event)
  • Date & Duration
  • Purpose/Outcome of Engagement
  • Follow-up Actions
  • Logged by (Employee Name/ID)
  • Status (Open, Completed, Requires Follow-up)

Submission Guidelines:

  • Exported from CRM weekly or monthly (CSV or PDF format)
  • Upload to SayPro Document Submission Portal under:
    • Document Type: Stakeholder Engagement Log
    • Recipient: Stakeholder Relations Team / Department Manager

3. SayPro Research Evidence and Source Documents

  • Data sets, survey results, interview notes, benchmarking reports
  • Must accompany monthly/quarterly reports or planning submissions

4. SayPro Meeting Minutes & Action Logs

  • For internal planning or interdepartmental collaboration
  • Required after:
    • Research Planning Meetings
    • Feedback Sessions
    • Stakeholder Consultations

5. SayPro Compliance Declarations or Approvals

(If applicable to the employee’s function)

  • Ethics declarations
  • Consent forms
  • Project approval notices

All documents must be uploaded to the SayPro Document Submission Portal by the designated deadline. Files must be named using the standard naming convention and adhere to SayPro’s document branding and formatting policies.
