SayPro Purpose of the Template:
The SayPro GPT Topic Extraction Log Sheet is used to record and track the results of topic extraction using GPT prompts. It ensures consistency, traceability, and accountability in managing AI-generated content for program design, training materials, communications, and strategic development.
This log is especially important when SayPro staff are required to extract 100 GPT-generated topics per prompt across multiple prompts.
SayPro Structure of the Log Sheet:

Employee/Contributor Name | Name of the person who created or logged the entry |
Notes/Comments | Any observations, instructions for future use, or feedback about topic relevance |
SayPro Instructions for Use:
- Access the Template:
- Visit https://www.saypro.online
- Go to:
Resources > Templates > GPT Tools
- Download the SayPro GPT Topic Extraction Log Sheet
- Complete for Each Prompt:
- Enter one row for each prompt used
- Fill in all relevant columns
- Ensure that at least 100 unique topics are listed per prompt as per task requirements
- Categorise the Topics (if required):
- Use dropdowns or filters in the template to tag topics by:
- Region
- Age Group
- Gender
- Profession

- Save and Submit:
- Upload the completed log to the SayPro Portal under the “GPT Activity Submission” section
- File name format:
GPT_TopicLog_[YourName]_WeekX.xlsx
(e.g., GPT_TopicLog_JaneDoe_Week2.xlsx)
SayPro Submission Timeline:
- Update and submit the log weekly or as per your GPT task schedule
- Ensure at least 5 prompts are processed with 100 topics each by the end of the month (minimum 500 topics)
SayPro Tips for Efficient Logging:
- Use GPT models like ChatGPT (GPT-4 or GPT-4o) for clear, structured topic outputs
- Group similar prompts for efficiency (e.g., same region, different professions)
- Use bullet lists for topics and paste directly into the sheet’s topic column
