SayPro Ensuring Timely Knowledge Management and Data Centralization
To maintain research continuity, transparency, and collaboration across departments, all SayPro research analysts, insight teams, and project stakeholders are required to upload documents and analysis outputs to the SayPro System on a weekly basis.
1.SayPro Purpose
This process supports:
- Centralized knowledge management
- Easy retrieval and referencing of research findings
- Cross-department collaboration and version control
- Progress tracking across projects and workstreams
- Long-term preservation of SayPro intellectual property
2.SayPro Weekly Upload Requirements
Each team member or unit must upload the following by close of business every Friday:
- ✅ Completed GPT output documents (e.g., 100-response prompt sets)
- ✅ Weekly data summaries and insights
- ✅ Sentiment and attribute analysis reports
- ✅ Annotated findings and analyst comments
- ✅ Updated research dashboards or spreadsheets
- ✅ Meeting notes, action trackers, or weekly reflections (if applicable)
3.SayPro File Format and Naming Convention
Accepted Formats: DOCX, PDF, XLSX, PPTX, CSV, and JSON
File Naming Convention:[Team/Project]_[Document Type]_[Date: YYYY-MM-DD]_[Version]
Example:SCRR6_SkincareAttributeAnalysis_2025-06-13_v1
4.SayPro Upload Location
All files must be uploaded to the designated folders within the SayPro Central Research System (SRS) or relevant project portal.
If integration with SharePoint, Drive, or SayPro’s KnowledgeHub is in place, files should be mirrored accordingly.
5.SayPro Compliance and Oversight
- Weekly uploads are tracked by project coordinators and monitored by the SayPro Knowledge & Data Management Team.
- Non-compliance or delays may be escalated to the research supervisor or department head.
- A monthly audit will be conducted to verify the integrity and consistency of uploads.
6.SayPro Best Practices
- Use metadata tags to label files by topic, audience, and version.
- Review documents for completeness and clarity before upload.
- Include brief summaries or executive notes for context when applicable.
