Objective:

To verify the identity of all SayPro employees, consultants, researchers, or testers by collecting and securely storing a clear, valid copy of an official government-issued ID. This helps ensure compliance with legal, regulatory, and internal policy requirements related to employment, data security, and access control.


Purpose of the ID Requirement:

SayPro collects valid ID documents for several key reasons:

  • Identity Verification: To confirm the individual’s legal identity and prevent fraudulent or unauthorized participation in SayPro projects.
  • Compliance & Regulation: To comply with employment laws, tax requirements, and Know Your Employee (KYE) policies.
  • Access Rights: To issue system credentials, ID badges, or research access aligned with SayPro’s internal security protocols.
  • Recordkeeping: To maintain accurate and verifiable personnel files within the SayPro Human Resources Management System (HRMS).

Accepted Forms of Valid Identification (Must Be Government-Issued):

Employees must submit a clear, unexpired copy of one of the following:

  • National Identity Card (ID)
  • Passport
  • Driver’s License
  • Residence Permit
  • Voter’s ID (only in jurisdictions where this is accepted as legal identification)
  • Work Permit (if applicable)
  • Other official government-issued photo ID (subject to HR approval)

📌 Note: Temporary IDs, expired documents, or documents without a photo will not be accepted.


Submission Guidelines:

  1. Quality of the Copy:
    • Must be a clear, legible scan or photo in PDF, JPG, or PNG format.
    • All text, photo, and document numbers must be visible without distortion or shadows.
  2. How to Submit:
    • Upload via the SayPro Onboarding Portal or submit by email to the SayPro HR Department at [HR@saypro.com] (example).
    • Ensure the file name includes your full name and employee ID (e.g., “JaneDoe_IDDocument.pdf”).
  3. Deadline for Submission:
    • Must be submitted within 5 business days of onboarding initiation or offer acceptance.

Data Privacy and Security:

  • All ID documents are handled in accordance with SayPro’s Data Protection Policy and applicable data privacy laws (e.g., GDPR, POPIA, or local legislation).
  • Access to ID documents is restricted to authorized HR and compliance personnel only.
  • Documents are stored securely in encrypted formats and regularly audited for compliance.

Consequences of Non-Submission:

Failure to submit a valid ID document may result in:

  • Delays in onboarding or system access
  • Suspension from active project participation
  • Non-issuance of contracts or payments (where applicable)
  • Potential withdrawal of offer or termination of agreement

Confirmation and Recordkeeping:

  • Upon successful submission and review, employees will receive an email confirmation from SayPro HR.
  • A digital copy will be stored securely in your personnel file for future reference, audits, or verification needs.
