As part of SayPro’s performance tracking and research quality assurance framework, all researchers, analysts, and project contributors are required to submit a Monthly Activity Log using the official SayPro-provided template. This log serves as a formal record of individual and team contributions, timelines, outputs, and key milestones for each reporting period.


SayPro Purpose of the Monthly Activity Log

The Monthly Activity Log is designed to:

  • Track progress on assigned research tasks, deliverables, and timelines
  • Provide transparent documentation of individual and team efforts
  • Support internal coordination and reporting to management, donors, and partners
  • Facilitate performance evaluation and strategic planning
  • Maintain institutional knowledge and accountability

SayPro What to Include in the Monthly Activity Log

Using the SayPro official template, employees must include:

  1. Employee Information
    • Full name, researcher ID, department/project name, reporting month
  2. Summary of Activities
    • List of key tasks completed (e.g., topic extraction, data cleaning, report drafting)
    • AI prompts used and outputs generated
    • Participation in meetings, training sessions, or feedback loops
  3. Outputs Delivered
    • Links or references to final documents, topic lists, data sets, or reports submitted
    • Status of deliverables (e.g., submitted, in progress, under review)
  4. Time Allocation
    • Breakdown of time spent across major activity categories (e.g., research, documentation, collaboration)
  5. Challenges and Solutions
    • Brief description of obstacles encountered and actions taken to address them
  6. Plans for Next Month
    • Tasks to be started or continued, upcoming deadlines, resource needs
  7. Sign-Off
    • Employee signature/date and space for review comments by the SayPro Research Coordinator or supervisor

SayPro Submission Guidelines

  • Use only the official SayPro Monthly Activity Log template, available via the SayPro Research Portal or shared drive.
  • Submit by the 5th working day of each new month, covering the previous month’s activities.
  • Upload completed logs to the designated SayPro document repository or email as instructed.
