Purpose:

To maintain accountability, reproducibility, and audit readiness in AI-assisted research processes, all use of GPT via the SayPro platform must be logged comprehensively. Execution logs capture details of every GPT prompt run, facilitating quality assurance and ensuring compliance with SayPro standards.

Policy Statement:

1. Mandatory Logging
   Every GPT prompt executed through SayPro’s licensed AI platform must be logged immediately, documenting all relevant parameters, inputs, outputs, and user details.
2. Log Contents
   Each GPT prompt execution log entry must include:
   • User Identification: Researcher name, department, and access ID
   • Date & Time: Timestamp of prompt execution
   • Prompt Used: Exact prompt text or prompt ID from SayPro’s approved prompt library
   • Input Data Description: Summary of data provided to the GPT model (e.g., survey excerpts, learner feedback)
   • Output Summary: Key results or output file references
   • Session ID: Unique identifier for tracking related prompt executions in one research session
   • Purpose: Research activity or report section for which the prompt was executed
3. Storage and Security
   • Logs are securely stored in SayPro’s AI Operations Database with encrypted access controls.
   • Only authorized personnel from the Research Office and SCRR oversight team have access for review or audit purposes.
4. Submission and Review
   • GPT execution logs must be submitted daily along with daily activity logs via the SayPro platform.
   • Logs are reviewed weekly for quality, compliance, and to identify areas for prompt refinement.
5. Retention
   • Logs are retained for a minimum of 3 years in accordance with SayPro data governance policies and applicable legal standards.
